Organization

The e-mail is brief.

The main point of the message is concisely defined in the Subject field.

The purpose is stated at the beginning of the e-mail.

The reader's expected action is stated clearly in the beginning of the e-mail.

The most important piece of information is at the beginning of the content.

If content is long, it is organized with formatting techniques, such as lists and graphics.

Sentences are short.

Paragraphs are no more than five or six sentences.

Free of wordiness, redundancy, intensifiers, inflated language, and delayers

Uses positive forms, expresses action through verbs instead of nouns, uses active voice, and avoids adverbs and verbs that use prepositions

Reply Format

If this e-mail is a reply, consider the following:

Has the appropriate reply option been chosen for the intended audiences?

Does the e-mail contain an attachment? If so, is it necessary to include the attachment in a reply? Would it be more appropriate to share the changes to the attachment in a shared database?
